1. Overview: Displays all upcoming events.
2. Add Event: Click "+ Add Event", enter the name, date, and time, then click "Confirm".
3. Actions: Use the three dots on the right to Edit, Manage, or Cancel an event.
1.1.1 Attendee Management
To manage participants, double-click on an event to open the "Manage event" section.
- A) Individual Add: Click "+ Add Attendee(s)" and enter their details manually.
- B) Bulk Import: Create large attendee lists quickly by importing a .csv document.
- C) Invitation Tracking: Use filters to see which attendees have already received their invitations.
- D) Attendee Actions: Via the three dots, you can Check-in guests, Print Badges, or Resend Invitations.
- E) Check-in Process: Use the native scanner to check in attendees by scanning their badge QR code or entering their
email.
1.1.2 Badge Design & Printing
In the "Manage" section, you can customize the physical identification for your guests:
- A) Background: Upload your custom badge design.
- B) Data Fields: Select which information (Name, Company, etc.) should be printed on the badge and set the format.
- C) Printer Settings: Define document size, copies, and orientation (Portrait/Landscape).
- D) Testing: Choose the print method and generate a Sample Badge to verify the layout.
1.1.3 Booth Management
The “Booths” section under "Manage event" section, allows you to create a list of booths at your event. Booth
information, such as its name, will be shown in the “Badge Scanner” application used by booth representatives to check
in attendees. Organizers can also see an overview of all booths including the number of attendees visiting each booth
1.1.4 Advanced Session Details
- When adding or editing a session, you can define specific engagement and tracking features:
- Basic Info: Enter the Session Name and Description (supports English/French for multilingual offices).
- Location & Booth: Link the session to a specific Booth if it's part of an exhibition.
- Speakers & Co-Speakers: Enter the email addresses of the presenters. This links their profiles to the session.
- Capacity & Group Tags: Limit the number of participants and use tags for better categorization.
Interactive Features:
- Q&A Functionality: Enables a "Speaker Screen" for real-time audience questions and prioritization.
- Check-in to Sessions: Tracks actual attendance for analytics and gamification.
- Session Polling: Link a custom poll to get instant feedback during the talk.
- Session Rating: Allows users to rate the session quality afterwards.
1.1.5 Emails & Notifications
This section manages the automated communication flow for the event.
Settings & Scope:
- Name & Type: Define the notification (e.g., Invitation, Update).
- Outlook Integration: Note that attendee responses can only be tracked if the email option with an Outlook Blocker is
chosen. Teams links are generated automatically.
- Target Audience: Select the recipients based on their Audience Status (e.g., Invited, Checked-in, Waitlisted).
Scheduling:
- Repeat: Set how often the notification appears (e.g., "Only once when the user enters the app").
- Expiry: Set an expiry date to ensure old notifications don't clutter the user's feed.
Customization:
- Content: Choose a matching symbol, a Header Text, and the Content Text for the message (available in multiple
languages).
